Bottleneck

  • Routine requests meant a person opening several systems and stitching the answer together by hand. Operational capacity was limited by how much cross-system work one person could carry.
  • Wholesale enquiries arrived after hours and were answered the next morning, after buyers had already contacted competitors. Preparing an offer meant checking stock line by line, and follow-up depended on memory.

Solution

  • A digital employee runs inside DiscoverNight's private Microsoft environment and takes its tasks through Teams. It works across live order, inventory and catalogue data and returns finished outputs, such as a ready-to-send offer sheet.
  • For enquiries, it reads the buyer's CRM history in HubSpot, checks available stock in Extensiv, and prepares a reply from current availability. The owner gets an SMS, email and Teams notification, then approves. A three-message follow-up runs on day 1, day 5 and day 14.
  • It runs in the client's own tenant on the client's own keys, so company data stays where it already is. New skills arrive as configuration, not a rebuild.
